" Manages the daily operations and work efforts of the contract
administration staff to ensure proper company compliance of policies
and procedures for the energy-related trading, marketing and risk
management division of an international, diversified commodity trading
firm.
" Directs and/or assists in all areas of the contract administration
department with contract audits/generation, contract reviews, image
queue management and tax package preparation
" Audits general terms and conditions of contracts for compliance
of internal company policies, requirements and procedures and relates
provisions to staff
" Manages, coordinates and reviews activities and contracts
generated by the contract administration staff to ensure the timely
release of accurate counterparty contracts; recommends measures
to increase efficiency
" Prepares, compiles and verifies data for the Image Queue,
Contract Recap/Unconfirmed Trade and Missing Image File reports
for management
" Manages contract administration staff (i.e., maintains attendance
and vacation records, documents performance, conducts performance
appraisals, interviews prospective employees and trains personnel
in contract policy and procedures.
" Using own discretion, reviews the work product of contract
administrators to ensure accuracy and completeness
" Ensure that (internally) approved confirmation templates
are accessible as reference guides. Update and code document management
System (AIA) with legally approved templates for distribution and
use for Contract Administration staff for documentation generation
and response.
" Use tact and diplomacy to interface with Front, Middle and
Back office departments.
" Performs related duties and special projects as assigned
Job Requirements (Identify minimum levels required.)
" Exceptional knowledge of boiler plate purchase and sale agreements
and merchant terms and conditions.
" Proven supervisory skills.
" Good written and verbal communication skills.
" Ability to make accurate decisions.
Education
" College degree or equivalent combination of education and
work experience preferred
" Paralegal certificate from an accredited college or institution
preferred.
Experience
" Five years of experience with contract preparation, administration
and compliance
" Five years in a trading, investment or risk management related
industry
" Prior experience working in the commodity industry preferred,
domestic and international waterborne experience preferred.
" Three years of experience utilizing boiler plate purchase
and sale agreements and merchant terms and conditions
" Previous contract negotiation skills extremely helpful
" Prior supervisory experience
Knowledge/Skills/Abilities/Licenses
" Knowledge of contract principles and procedures
" Ability to compile information and prepare reports
" Knowledge of commodities trading business practices and procedures
preferred
" Strong analytical skills (e.g., the ability to assess contract
compliance and resolve problems)
" Strong communication skills (written and oral)
" Strong interpersonal skills (e.g., the ability to work effectively
with personnel in various divisions of the company and reflect a
positive image to internal/external customers)
" Ability to prioritize workload
" Ability to work under pressure and to multi-task
" Organized and detail-oriented
" Proficiency with Microsoft Office software a plus
" Proficiency with databases helpful, preferably on an AS/400
system
